Cancellation and Refund Policy
All cancellation requests must be submitted in writing by email to Clinical Advancements in Medical Practice, LLC, also known as C.A.M.P.
Conference registration cancellations received on or before January 15, 2027 will be eligible for a refund, less a 10% administrative processing fee. No refunds will be issued for cancellations received after January 15, 2027.
If a cancellation request is received after the refund deadline, the registration fee, less the 10% administrative processing fee, may be credited toward a future C.A.M.P. educational conference, at the discretion of Clinical Advancements in Medical Practice, LLC.
All cancellation requests must be emailed to campcme@gmail.com by the applicable deadlines stated above.
Hotel Reservations and Cancellation Policies
Attendees are responsible for booking hotel accommodations directly with the hotel. Hotel reservations, deposits, cancellation deadlines, early departure fees, taxes, resort fees, and other hotel-related charges are governed by the hotel’s policies.
Please review all hotel cancellation and payment policies directly with The Westin Beach Resort before completing your reservation. Clinical Advancements in Medical Practice, LLC is not responsible for hotel cancellation fees, no-show charges, early departure fees, incidental charges, or other hotel-related costs.
Conference Cancellation by C.A.M.P.
In the unlikely event that Clinical Advancements in Medical Practice, LLC cancels the conference, registered attendees will receive a full refund of conference tuition paid.
C.A.M.P. is not responsible for airfare, transportation, lodging, meals, lost wages, childcare, travel changes, or any other personal or business expenses incurred by attendees.
Travel Insurance
Attendees are strongly encouraged to purchase comprehensive travel insurance. Travel insurance may help protect against unexpected circumstances, including trip cancellation, trip interruption, medical emergencies, weather-related delays, flight disruptions, and other unforeseen events.
Clinical Advancements in Medical Practice, LLC is not responsible for expenses related to travel changes, delays, cancellations, or event modifications caused by circumstances outside of its control.
Hotel Policies for The Westin Beach Resort
Conference group rates are quoted per room, per night and do not include applicable taxes, fees, or other hotel charges. These charges are subject to change and may include, but are not limited to:
12.5% state and local taxes
2.5% state cost recovery fee
$45 resort fee per room, per day
$6 daily housekeeping fee per room, per day
$12 round-trip porterage fee per person
Maximum guestroom occupancy is four guests per room, regardless of age. No exceptions are permitted. Fees may apply for additional guests, please inquire with the hotel for more information.
Rollaway beds are not available. Cribs or pack-n-plays may be available, subject to availability and subject to change.
Hotel check-in time is 4:00 PM and check-out time is 11:00 AM. Late check-out may only be confirmed by the hotel front desk on the day of departure. Late check-out is subject to availability and may result in additional charges.
Early Departure Policy
Attendees should notify the hotel directly of any changes to their scheduled departure date. Early departure policies, deadlines, and any related fees are determined by the hotel.
Changes made within the hotel’s restricted cancellation or modification period may result in additional charges, including charges for the full original length of stay.
Credit/Debit Card Policy
A valid credit or debit card may be required by the hotel at check-in for incidental charges, deposits, or other hotel-related fees. Attendees are responsible for reviewing and complying with the hotel’s credit/debit card policies.
Parking
Valet parking is currently $35 per night. Self-parking is not available. Parking rates are subject to change.
Photography and Video Consent
Photographs and video footage may be taken during the conference for educational, marketing, promotional, and conference-related purposes.
By registering for and attending the conference, attendees consent to being photographed or recorded and authorize Clinical Advancements in Medical Practice, LLC to use such photographs, recordings, or likenesses in conference materials, publications, website content, email communications, social media, and other promotional or educational materials.
Attendees who prefer not to be photographed or recorded should notify C.A.M.P. staff at the registration desk during the conference.
Program Changes
Clinical Advancements in Medical Practice, LLC reserves the right to modify conference faculty, topics, schedules, locations, agenda items, or other program details if necessary. Any such changes will be made in good faith and communicated to attendees when appropriate.
Agreement to Terms
By completing registration, the attendee acknowledges that they have read, understood, and agreed to these Terms and Conditions, including the cancellation, refund, hotel, travel, photography, and program change policies.
